The Challenge
A national shopper research study required Ethos to recruit and manage respondents across multiple locations, languages, and participant requirements.
The recruitment team initially relied heavily on traditional outreach methods such as email invitations, qualification messages, and manual follow-ups.
The challenge was simple but costly: qualified respondents were not always responding.
Some participants had received the invitation but had not opened or acted on it. Others had completed an initial step but stopped responding during follow-up. Difficult-to-fill recruitment groups required additional attention, while the research team had to repeatedly check statuses and contact respondents individually.
For a time-sensitive research project, waiting for respondents to notice another email created unnecessary delays.
The question became:
How do we reach qualified respondents faster without requiring recruiters to manually call every person one by one?
How We Responded
Ethos introduced AI voice calling as an additional recruitment and follow-up channel.
Rather than replacing the existing recruitment process, AI calling was added at the point where traditional outreach was no longer producing a response.
Automated respondent outreach: AI calls could proactively contact selected respondents instead of waiting for them to return to an email invitation on their own.
Immediate participation confirmation: During the call, respondents could confirm whether they had received the study invitation, whether they were interested in participating, and whether they intended to continue with the qualification process.
Faster status collection: The calling workflow captured respondent answers for follow-up, giving the research team clearer visibility into who was interested, who needed assistance, who had not received the invitation, and who was unlikely to proceed.
Support for hard-to-reach respondents: AI calling provided an additional touchpoint when email reminders alone were not enough to re-engage qualified participants.
Human + AI recruitment model: Routine outreach and confirmation could be handled through AI calling while the research team focused its time on respondents requiring clarification, technical assistance, or more complex support.
Research Methods Used
AI Voice Calling: Proactive outbound calls used to reconnect with selected and non-responsive respondents.
Email Recruitment: Initial study invitations, qualification information, and written instructions remained part of the recruitment journey.
Respondent Status Tracking: Call outcomes and respondent intentions were captured so the research team could prioritize the next action.
Multi-Channel Follow-Up: Recruitment moved beyond a single communication channel by combining written outreach, reminders, AI calls, and human intervention where needed.
Human Escalation: Respondents with questions or issues requiring more detailed assistance could be moved back into the research team’s support workflow.
Results & Operational Impact
✅ Reached respondents who were not responding to email-only follow-up
✅ Created a direct way to capture whether respondents had received the invitation and intended to participate
✅ Reduced reliance on repeatedly waiting for respondents to respond to manual email reminders
✅ Allowed recruitment teams to identify interested, unavailable, non-responsive, and support-needed respondents more quickly
✅ Added a scalable follow-up channel for difficult recruitment groups and time-sensitive studies
✅ Established AI calling as part of a broader multi-channel recruitment strategy for future research projects
The project demonstrated that AI calling is most valuable not as a replacement for recruiters, but as a way to remove repetitive outreach from the recruitment process and surface the respondents who actually require human attention.
Project Timeline
AI calling was introduced during active fieldwork after the team identified that email follow-up alone was not sufficient to move some qualified respondents toward completion.
The experience led to a new operational recommendation for future projects: build the communication sequence before launch rather than adding additional channels only after recruitment begins to slow.
A future-ready sequence can include:
Initial invitation → Reminder → AI voice call → Status capture → Human follow-up when required
This allows respondent engagement to begin immediately instead of relying on repeated manual intervention.
Key Takeaway
Traditional recruitment often depends on one thing researchers cannot control: waiting for respondents to respond.
AI calling changes that dynamic.
Instead of sending another reminder and hoping it gets noticed, research teams can proactively reach respondents, confirm interest, capture their status, and determine the appropriate next action.
The value of AI calling is not simply making more calls. It is reaching people faster, collecting responses sooner, and allowing human recruiters to focus their time where it matters most.
For hard-to-reach audiences and time-sensitive fieldwork, AI-assisted recruitment can turn passive follow-up into an active respondent-engagement strategy.
